The Meeting That AI Should Have Prevented

Picture the meeting. Six people, forty-five minutes, calendar invite titled something like "Quick sync on the launch." Nobody wanted it. It exists because a decision got made in one corner of the company that three other corners need to understand, and the only mechanism anyone trusts to move that understanding is putting everyone in a room and saying it out loud. Halfway through, someone asks the question the whole meeting was supposed to answer, and it starts again.

This meeting did not have to happen. Most meetings like it are not really about deciding anything. They are about synchronizing context that lives in scattered heads. And context synchronization is precisely the thing that, done well, machines and shared systems can handle without borrowing an hour of six salaries.

Meetings as expensive context transfer

Strip a recurring status or alignment meeting down to its purpose and you usually find the same core: information that one person or team holds needs to reach others. What changed since last week. Why a decision went the way it did. What the current constraints are. The meeting is the transport layer.

It is a terrible transport layer. It is synchronous, so everyone pays the cost at once. It is lossy, because people forget the details the moment they leave. The honest reason documentation loses is that it is written for humans to read and humans do not read it. It takes effort to write, effort to find, and effort to keep current, and every one of those efforts competes with real work. AI changes this equation, but not in the way people first assume. The point is not that AI writes the documentation for you, though it helps.
